How Much Does Business VoIP Cost? Per-User vs Per-Minute Pricing

Business VoIP is usually priced one of three ways: a fee per user, a fee per seat or phone, or a platform fee plus usage. The right model depends on how many people need a phone and how much they talk. This guide explains each model, the costs buyers forget, and how TX3 prices its hosted PBX service.

Three Common Ways VoIP Is Priced

Comparing quotes only works when you know which model each one uses.

Per-user licenses

Each person gets a license with a monthly price, often with features split across plan levels. The bill grows with every person added, whether they make many calls or few.

Per-seat or per-phone fees

A monthly fee for each phone or seat. It is simple to read but can add up when you need phones that rarely get used, such as a lobby or a shared line.

Platform fee plus usage

One monthly fee for the plan, plus a charge for the minutes you actually use. Cost follows call volume instead of headcount alone.

Costs Buyers Forget to Ask About

Whatever the model, ask for these in writing before you compare totals:

E911

Emergency calling is usually billed per number or location. Ask how it is charged and what it takes to keep addresses correct.

Taxes and fees

Ask which taxes and regulatory fees are added to the monthly price.

Phones

Ask whether phones are sold, leased or bring-your-own, and which models work.

Number porting

Ask who handles porting your existing numbers and how long it takes.

Support

Ask what hours support is available and how to reach it.

How TX3 Prices Hosted PBX

TX3 uses a platform fee plus usage. Starter is $50 per month for 1-5 extensions, Pro is $100 per month for 5-20 users, and Enterprise is $150 per month for 20+ users, plus $0.03 per minute of usage. The per-minute rate is flat, with no overage tier. E911 is $1.95 per month per primary or location DID. There are no per-user license limits.

Auto attendants, call queues and voicemail-to-email are available to every customer. Plans differ in how many you can set up, so check the pricing page for what each includes.

Starter: $50 per month

Ideal for 1-5 extensions. Smart call routing, 2 auto attendants, 2 time frames, voicemail-to-email, mobile and desktop apps, and web and mobile access.

Pro: $100 per month

Ideal for 5-20 users. Everything in Starter, plus unlimited auto attendants and time frames, call reporting tools, and ring groups and IVRs.

Enterprise: $150 per month

Ideal for 20+ users. Everything in Pro, plus dedicated support, multi-site management and custom call engineering.

A Simple Illustration

As an example only, not a quote: an office with 10 extensions on Pro that uses about 200 minutes per extension each month would have a $100 platform fee plus 2,000 minutes at $0.03, which is $60 in usage. That is $160 per month before E911, which is $1.95 per primary or location DID, and any applicable taxes and fees.

Your own usage will differ. See the cost comparison for a side-by-side of 20 extensions at 200 minutes each, or contact us to price your own team.
